CHARLOTTE, N.C. - Rezul -- There are a lot of people involved in keeping an HOA running smoothly. In addition to the board, committees, and the HOA management company, there are also a variety of vendors that the association works with. "The first thing the board should do is check the governing documents to see if there are any requirements or restrictions when selecting vendors," says Bryan Kuester, President of Kuester Management Group. "Do they need an RFP? Do they have to obtain a certain number of quotes? Do they need member approval to make a change?"
The association should also look at its budget and determine how much it can afford to spend – or is willing to spend – on the desired services, says Kuester. Have a range in mind and realize that many vendors are willing to negotiate. Ask about discounts for bundling services or special pricing terms.

It is also beneficial to shop around and compare options from multiple vendors. The highest quote does not necessarily mean the best service. Look at what each vendor offers and consider what services the HOA actually needs. Don't overpay for unnecessary add-ons. Analyze the overall value, what the association will get in return, and how that fits with its needs and goals.
"It is essential to do some basic research on any vendors before signing an agreement as well," says Kuester. "Do they have valid licenses, insurance, and credentials? Are they in good standing with the BBB? Ask around and talk to others who have used their services to get a better idea of their reputation."
